The report is filed. Most of what it certified keeps going: training new people, answering requests, posting notices. Here is what to do next, in order.
Right away
- Keep the confirmation. The government page says a confirmation email with a confirmation number goes to the certifier and the primary contact.
- Make the report available to the public (AODA s. 14(2)). The Act does not say how; posting a copy on your website or providing it on request are two ways to do this.
- Keep your working notes: how you counted employees, who certified, and what you relied on for each answer.
If something changes
The government page says to tell the ministry about changes to your address, primary contact, number of employees or status (for example, no longer in business, fewer than 20 employees or federally regulated) by updating your organization’s profile on the portal.
If you answered “no”
The Act does not set a follow-up step for a “no” answer. The requirements still apply, so put the missing pieces in place and keep a record of when you did. A director may review any report and ask for more information (AODA ss. 16, 17).
What continues all year
- Train new employees, volunteers and others who provide goods or services for you as soon as practicable, and train people on policy changes (O. Reg. 191/11 s. 7(3), (4); s. 80.49).
- Provide accessible formats and communication supports on request (s. 12).
- Post a notice when a facility or service people with disabilities rely on is temporarily disrupted (s. 80.48).
- Receive and respond to feedback through your accessible feedback process (s. 80.50).
- Tell job applicants and new hires that accommodation is available (ss. 22–24).
- At 50 or more: keep training records (s. 7(5)) and review the multi-year plan at least every five years (s. 4(1)(c)).
The next report
Reports are due every three years after the December 31, 2014 report, so the next one is due December 31, 2029 (O. Reg. 191/11 s. 86.1(3)). If your headcount crosses 50 before then, the 50+ requirements apply (O. Reg. 191/11 s. 2) and the next report asks about every standard. The ESA dates in the compliance calendar come around every year.
